Submissions open on September 1st, 2018 and the deadline is on November 1st, 2018. Presenters will be notified about acceptance of their abstract for presentation as a poster by November 15, 2018. Abstracts must be submitted by clicking on the button above and contain the following elements:
-E-mail of presenter;
-Affiliations of presenter and co-authors;
-Financial disclosures (see DISCLOSURES below);
-Four sections: Purpose, Methods, Results, Conclusions (maximum number of words = 300)
All presenters must register and pay the fees to attend the meeting and the poster session. Registration fees will be waived for residents and fellows. Go to https://www.envisionsummit.org/register to register for the meeting by November 20, 2018. A letter from the residency or fellowship program confirming the status of the resident/fellow must be obtained and pasted onto the abstract submission form under resident/fellow status confirmation.
POSTER SESSION SCHEDULE
The poster hall with appropriate boards will be located in the meeting location. All Presenters must mount their posters on their assigned poster board by noon on Saturday, February 16, 2019. The posters must remain on display until the poster session on Sunday, February 17, 2019 (from 1:15 PM to 1:45 PM). Posters must be removed by 6pm on Sunday February 17, 2019, or they will be removed by the meeting staff and discarded.
Each presenter must be at their poster during the poster session to address any comments or questions. Poster tour leaders will be guiding interested attendees through the poster hall to meet with presenters and discuss the poster during the poster session.
All presenters are expected to:
-Present the same work described in the abstract, with the same title, authors, and content.
-Fully disclose all commercial relationships relevant to the subject matter for themselves and all co-authors of the abstract for the prior 12 months (see DISCLOSURES below).
-Design a poster that is independent, objective, scientifically rigorous, balanced and free of bias.
-Assure that scientific studies utilized or referenced in their poster are from sources acceptable to the scientific and medical community.
-The U.S. Food and Drug Administration (FDA) requires disclosures be made to session participants of unlabeled or unapproved uses of drugs or devices contained in poster/presentations. You must disclose any such uses when you are discussing unlabeled or unapproved uses of drugs or devices.
Full disclosure must be listed in the abstract and on the poster. First/presenting authors must fully disclose to session participants all commercial relationships relevant to the subject matter for themselves and all co-authors of the abstract for the prior 12 months. Full disclosure will include the name(s) of the commercial interest and the nature of the relationship (Consultant/Advisor; Employee; Lecture Fees; Equity Owner; Patents/Royalty; Grant Support). Indicate “None” if no relationships exist.
POSTER BOARD DIMENSIONS
The image area of the poster board is a maximum of 1.1 meters (44”) high by 1.7 meters (66”) wide (landscape layout). Materials, including the title, may not extend beyond the image area.
Mounting: Limited supplies of pushpins will be available on site. Presenters must bring any other supplies for mounting, such as scissors. Do not use foam core or any thick or multi-layered materials. Do not use adhesives (glue, tape, spray adhesives, Velcro, etc.) directly on the poster boards.
Please follow the general poster guidelines of ARVO, which include:
-Keep materials clear and concise.
-Include full disclosures relevant to the abstract’s subject matter (see DISCLOSURES above).
-Produce material that is legible from a distance of at least three feet.
-Use large print and shade or color block letters when possible.
-For legibility, a minimum font size of 28 points and a maximum of 600 words are recommended.
-Avoid the use of blue-green and magenta-violet, which appear gray to your red-green color blind colleagues.
-Avoid using red or green - up to 5% of the population is red-green color blind.
-Use a layout for your poster that follows the main headings used in your abstract, i.e., Purpose, Methods, Results, and Conclusion.
-Do not use industry logos, registered trademarks, trade names, or product-group messages of any defined commercial interest(s). A commercial interest is any entity producing, marketing, re-selling, or distributing health care goods or services consumed by, or used on patients.
Poster printing is the responsibility of the presenter and is not available through the meeting.
